Privacy Policy

This Privacy Policy describes how Portage Systems handles information collected through the Portage Systems marketing website at portage.systems (the "Site"). It does not cover information collected by our product applications. Each product application (Lena, Banneker, Quill Roster, and Ethel) has its own separate privacy policy that governs account and customer data inside that application.
1. Information we collect on this site
We collect two kinds of information on the Site:
- Basic usage data. When you visit, our hosting and analytics providers automatically receive standard request information such as your IP address, browser type, referring page, pages viewed, and timestamps. We use this to understand how the Site is used and to keep it running.
- Contact form submissions. If you use the "Talk to us" form, we collect the name, email, organization (optional), message, and inquiry type you submit, so we can reply to you.
2. How we use this information
We use the information to operate and improve the Site, respond to inquiries, prevent abuse, and comply with legal obligations. We do not sell your personal information, and we do not use contact form submissions to send marketing without your permission.
3. Payments
The Site itself does not process payments. Payments for Portage Systems products are handled by Stripe on Stripe-hosted pages. When you pay, your payment card and billing information are submitted directly to Stripe and are subject to Stripe's privacy policy. We receive limited transaction details from Stripe, such as the fact of payment and the last four digits of the card, but not your full card number.
4. Service providers
We rely on a small set of service providers to run the Site. These include our hosting and deployment provider, a database and authentication provider that stores contact form submissions, and an email delivery provider that lets us receive and reply to those submissions. These providers process information on our behalf under their own privacy and security terms.
5. Cookies and local storage
The Site uses a small number of cookies and browser storage entries that are necessary to serve pages, keep the Site secure, and remember basic preferences. We do not use advertising cookies or cross-site tracking cookies on this marketing site. Your browser lets you block or delete cookies, but some parts of the Site may not work as expected if you do.
6. Data retention
We keep contact form submissions for as long as needed to respond to your inquiry and maintain a reasonable business record, and then we delete or anonymize them. Basic usage logs are kept for a limited period by our hosting and analytics providers under their standard retention schedules.
7. Your rights
Depending on where you live, you may have the right to request access to, correction of, or deletion of the personal information we hold about you from the Site, and to object to or restrict certain processing. To make a request, write to us at the address below. We will respond within the time required by applicable law. Requests related to a specific product application should be sent to that application's contact address in its own privacy policy.
8. Children under 13
The Site is not directed at children under 13, and we do not knowingly collect personal information from children under 13 through the Site. If you believe a child has submitted information to us, please contact us and we will delete it.
9. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will update the effective date above. Material changes will be reflected on this page.
